An e-archive invoice is a highly important document, especially for companies engaged in micro-export. So, what is the function of this document and how is it prepared? Keep reading for all the answers to these questions.
What Is an E-Archive Invoice?
An e-archive invoice is a type of invoice that a business creates and stores in an electronic format. It is a method that simplifies invoice generation and storage processes by digitizing them. The e-archive invoice is issued and kept by the business.
Additionally, the e-archive invoice is a method that facilitates the customs and tax procedures of micro-exporters, thereby enabling businesses to operate more efficiently.
What Should Be Considered When Issuing an E-Archive Invoice?
When issuing an e-archive invoice, you must ensure that the following details are present on the relevant document. Otherwise, the document will lose its validity.
• The contents of the goods must be written clearly on the invoice.
• The invoice must be issued without VAT.
• The invoice must be issued in TL (Turkish Lira), and the invoice amount must match the proforma.
• The HS code (GTIP number) of the product must be on the invoice.
• The phrase "Of Turkish Origin" must be included on the invoice.
• There must be a stamp and signature on the invoice.
• The person performing the transaction must make sure to issue the invoice as an e-archive invoice, not as an e-invoice.
Under micro-export, your product shipments sent via Navlungo are subject to ETGB (Electronic Commerce Customs Declaration). Therefore, an ETGB is automatically issued for the product.
What Is Required for an E-Archive Invoice to Be Valid?
For your e-archive invoice to be valid, there are certain details that must absolutely be included on it. These are specified below:
• Destination address
• Type and unit price of the product inside
• Total sales price
• Quantity of products inside
• Dimensions and weight value
• Harmonized System Code (HS/GTIP number)
• Seller's tax office and tax number details
• Delivery terms
• Details of the individual or institution purchasing the product inside
• Tax liability details in the buyer's country
• Payment details
If any of this information is missing, the micro-export process cannot be fully completed. At the same time, the ETGB document to be issued and the invoice must verify each other.
